Organising dinner for ten people in Milan is a project, not a phone call. Here's the version that works.
The seven-step version
1. Fix the date before the venue
The single biggest cause of a collapsed group dinner is a date that's still "probably". Get a date confirmed by the three people who matter most, then book. Everyone else adapts.
2. Get the real number
Ask for a yes/no, not a maybe. Then book for the number of confirmed yeses plus one, not plus four. Restaurants can usually add a chair; they cannot un-book an empty table on a Saturday.
3. Book 10–14 days ahead for 8+
For four to six people, three or four days is normally fine. For eight or more on a Friday or Saturday, two weeks. In Milan in September, October, December and during Fashion Week or Salone, make it three.
4. Pre-agree the food

A working formula for 10 people:

5. Settle the bill question before the dinner, not after
Decide in advance: one bill split evenly, or separate bills. Tell the restaurant when you book. Splitting ten ways at 23:30 in a busy room is how good evenings end badly.
6. Flag dietary needs at booking
Vegetarian, vegan, gluten, shellfish, pork. Give the numbers when you book, not on the night. Sri Lankan menus have a lot of natural flexibility — coconut-based curries are dairy-free, and there are vegetable versions of most dishes — but the kitchen needs notice. See vegan and gluten-free options.
7. Choose a venue the night can continue in
A group dinner that ends at 22:30 with everyone on the pavement is a group dinner that ends. Book somewhere the evening can keep going in the same room — dinner that turns into a night out.
Questions to ask any Milan restaurant before you commit
- Can you seat us at one table, or will we be split?
- What time do you need the table back? Is there a second seating?
- Can we agree the menu in advance, and by when do you need the final number?
- Do you do separate bills for groups?
- Is there a service charge or cover (*coperto*) per person?
- Can we bring a cake, and is there a plating charge?
- What happens if two people drop out on the day?
If a restaurant answers those seven clearly, the evening will be fine.
Birthdays specifically
- Book earlier in the evening (19:30–20:00) so the table is settled before the room fills.
- Tell the restaurant it's a birthday when you book, not on arrival.
- Cake: ask in advance. Most Milan restaurants allow it; some charge a plating fee.
- Seat the birthday person where they can see the room, not facing a wall.
- One person handles the bill. Collect from everyone beforehand, or nominate a payer and settle later.
